VOLUNTEER TODAY!  WE NEED YOUR HELP

You are needed to participate in your North Beach Elementary School PTA! Wish you were more involved in your student's school experience? Do you wonder what the PTA does with your donations? Would you like to get to know other parents and staff at North Beach Elementary School? 

You can do all of these things, and more, by volunteering your time to serve on the PTA Board for the 2015-2016 school year. The Nominating Committee for the North Beach Elementary School PTA is recruiting for all key positions for the 2015-2016 school year. We need a President (or co-Presidents), Vice-President, Secretary, Treasurer and Legislative Chair. These are all very important roles and are crucial to the continuing success of all our students at North Beach.
 
Below is a summary of each of the positions we annually recruit for. For more information please contact the
 current PTA President

North Beach Executive Committee Job Descriptions

President
  • Serve as the spokesperson for the NBPTA
  • Organize meetings
    • At least 3 general meetings
    • Monthly board meetings
  • Preside over meetings
  • Organize yearly NBPTA calendar
    • Ensure all event dates and meetings are on calendar and permitted for
    • Make sure the NBPTA is aware of all events/meetings through updates on the website or Beachcomber
  • Ensure all the programs and projects of the NBPTA are running smoothly
  • Ensure we are using our funds and volunteer efforts to support our mission
  • Have clear communication between North Beach staff and the NBPTA, as well as within the NBPTA community, so that we work as a unified group to make North Beach great.
  • Make appointments to positions and committees as necessary, using standing rules as a guide
  • Oversee programs and projects of the NBPTA
  • Budget
    • Work with the treasurer to ensure that the budget needs are being met and we are operating within our budget
    • Work with principal to find out their needs

Vice President
  • Stand in for President as necessary
  • Be willing to be President after role of Vice President unless something serious changes
  • Work with Committee chairs to share budgets and notebooks of what has happened in the past
  • Serve as an ex-officio member of all committees to understand how each is going and provide guidance as necessary
  • Find childcare providers for all general meetings (currently use Boys and Girls club)
  • Arrange for parent education speakers

Secretary
  • Keep accurate records of all meetings
  • Copy meeting agendas and any other necessary documents for meetings
  • Provide minutes to the Board for review with adequate time for feedback prior to the next scheduled meeting.
  • Post minutes on website
  • Keep a copy of all minutes and other necessary PTA documents
  • Notify the president of any unfinished business
  • Be responsible for correspondence and thank you notes
  • Keep a complete roster of the membership of all standing and special committees
  • Maintain a complete roster of all members

Treasurer
  • Serve as chair of the budget committee and present the budget to the membership
  • Gain understanding of National PTA Money Matters, Uniform Bylaws, Standing Rules and other state PTA materials.
  • Apply for and hold all appropriate licenses for the PTA.
  • Coordinate and complete all PTA financial actives:
    • Work closely with program chairs regarding the receipt of funds and expected expenses
    • Assure all PTA funds are promptly recorded and deposited in the PTA bank account Keep an accurate and detailed account of all funds received and all funds dispersed
    • Pay all authorized obligations (invoices, reimbursements and such) in a timely way
    • Maintain and preserve all receipts, invoices, bank statements and other financial records
    • Reconcile bank account on a monthly basis and monitor and reconcile all other accounts on a timely basis
    • Process and coordinate corporate matching funds
    • Submit monthly financial reports at each PTA board and General Meeting
    • Prepare and submit taxes on time
    • Work with and communicate closely with NBPTA Vice President regarding program expense and income information
    • Coordinate financial review
    • Review all program contracts to ensure all financial and insurance requirements are met

Legislative Liaison
  • Stay abreast of education issues that impact the quality of public education in Washington State and Seattle Public Schools.
  • Keep Board and NBPTA informed of issues and upcoming legislation as it relates to education
  • Act as NBPTA rep to all legislative functions of the state PTA
